Elements of a Good Presentation

• Ensure your presentation content reflects the session title and description.
• Communicate learning goals and your plan for achieving them in your session.
• Structure your presentation to adhere to time constraints and delivery modality.
• Determine how you will intentionally engage the audience throughout your session.
• Incorporate concrete (vs. purely theoretical) examples, opportunities to ask questions/follow-up with you, and handouts/resources to refer to afterward.

Presentation Logistics

• Concurrent session rooms are set theater-style; please adhere to this set-up.
• Each room is equipped with screen, projector, Wi-Fi access, podium with a podium mic, sound system, and flipchart/easel with markers.
• Presenters need to bring their own laptops, including any associated adaptors and power supplies, to their sessions.

Preparing and Delivering a Presentation

• Please send us a single published URL linking to your session handouts and materials  to planning@iu.edu by the priority deadline of Friday, October 10, 2025. Your link will be published on the Assessment Institute website for easy access during and after your session, available for up to one year. If providing a URL is not possible, we are happy to accept a single combined PDF that includes slides, handouts, or both. We will continue to post handout materials received after the priority deadline, but we cannot guarantee they will be posted prior to the Institute. All handout materials received after the deadline or after the Institute will be posted to the website in November.
• Please arrive to your session 15 minutes before the session start time; a technician and an Institute representative will greet you to ensure you are all set.
• Please begin and end your session on time; we need schedule integrity adherence.
• Please back-up your presentation on a flash drive or via cloud-based access.

Elements of a Good Poster Presentation

• Ensure your poster content reflects the session title and description.
• Style your poster to engage content discussion and collaborations with passing attendees.
• Poster text should be clear and to the point. Use of bullets, numbering, and headlines will make the poster easy to read. Effective use of graphics, color, and fonts will make a consistent and clean layout.

Poster Presentation Logistics

• Each poster presenter will have a display board (48 inches tall x 96 inches wide) on a stand on which to display their presentation.
• Posters should be smaller than 48x96 inches to fit on the display board. We suggest having a 36x60 or 36x72 inch poster printed on glossy paper that can easily be rolled to fit in a poster container for travel. Alternatively, you may wish to consider producing a cloth or fabric poster.
• Poster board locations will be pre-assigned and identified with a sign that includes your poster board number, session number, presentation title, and presenter name(s).
• Depending on the day of your poster session, presenters can find their assigned poster board number and location in either the Sunday Poster Session Diagram or the Monday Poster Session Diagram. Assigned poster board numbers can also be found in the online Institute daily program schedule and the pocket schedule-at-a-glance, which is distributed at Registration. 
• The Institute will provide push pins to secure your poster. If you feel additional materials are needed to secure your poster besides push pins, you will need to provide your own supplies.
• Electricity and tables are not available for these sessions.

• Posters must be set-up 30-minutes prior to the start of the poster session and dismantled promptly at the end of the session.
• Presenters should plan to be stationed at their poster board for the duration of the session.

Shipping Handouts and Materials to the Indianapolis Marriott Downtown

• Presenters are responsible for paying and scheduling their own shipments to the Indianapolis Marriott Downtown.
• Materials may be shipped via a carrier of your choice. Return shipping must be pre-arranged with carrier. 
• All packages being sent to the hotel should include a full return address including the shipper’s name.
• If shipping multiple boxes, in lower left corner, identify boxes: 1 of 4; 2 of 4; 3 of 4, etc.
• Hotel staff will receive items beginning Thursday, October 23, 2025. No packages will be accepted prior to this date. (Per the Marriott, materials may not arrive prior to three days - 72 Hours - before event).
• To request delivery or pick-up of a package, you can call the Marriott Redcoat at 317-281-8047 or go to the hotel check-in and tell them you are a presenter with the Assessment Institute in Indianapolis, and you need to pick-up your packages/shipment.
• All mail/package forms need to be completed by the guest. Indianapolis Marriott Downtown will not be responsible for completing any shipping/handling forms.

Departure Shipping Instructions for Presenters

• Presenters are responsible for paying and securing the return shipping of their items.
• Presenters should create an online shipping label from a shipping company of their choice. IMPORTANT: Presenters should schedule a pickup when creating the label.
• If shipping multiple boxes, in lower left corner, identify boxes: 1 of 4; 2 of 4; 3 of 4, etc.
• Pick up address for the shipping label:

• Once the shipment has been scheduled, the presenter should call the Marriott Redcoat at 317-281-8047 or go to the hotel check-in and tell them you are a presenter with the Assessment Institute in Indianapolis, and you need your packages/shipment picked up.
• After the presenter has confirmed their shipment pick up with the Marriott Redcoat or hotel check-in, the Marriott’s shipping department will pick up the presenters items and hold them until the presenters shipping company arrives for pick up.
